This notice covers the data of partner agencies and of the people who represent them, collected through this site (application form, agency portal and electronic signing of the Agent Recruitment Agreement).

2. What we collect
When your agency applies: agency name, country and city, website, the markets where you recruit, and the name, role, email and phone or WhatsApp of the person we should talk to.
When you sign the agreement: the signer's name and title, the date and time of the signature (UTC), the IP address and the browser identification, plus a cryptographic hash of the exact text signed. This is the evidence that makes the electronic signature valid, and it is stored with the contract.
When you use the portal: your login email and minimal technical records of access, so we can keep the private material secure.
Cuando tu agencia postula: nombre de la agencia, país y ciudad, sitio web, los mercados donde reclutas, y el nombre, cargo, correo y teléfono o WhatsApp de la persona con quien debemos hablar.
Cuando firmas el acuerdo: el nombre y cargo de quien firma, la fecha y hora de la firma (UTC), la dirección IP y la identificación del navegador, más un hash criptográfico del texto exacto que se firmó. Esa es la evidencia que hace válida la firma electrónica, y se guarda junto con el contrato.
Cuando usas el portal: tu correo de acceso y registros técnicos mínimos de ingreso, para poder mantener seguro el material privado.
3. What we use it for
To evaluate your application, to agree and record your commission, to issue and keep your signed Agent Recruitment Agreement, to give you access to the partner portal and its material, to assign you an advisor, and to contact you about the partnership.
We also keep the signed contract to meet our legal and accounting obligations, and to know when your agreement expires so we can offer you a renewal.
Para evaluar tu postulación, acordar y dejar registrada tu comisión, emitir y conservar tu Agent Recruitment Agreement firmado, darte acceso al portal de partners y su material, asignarte un advisor, y contactarte por temas de la alianza.
También conservamos el contrato firmado para cumplir obligaciones legales y contables, y para saber cuándo vence tu acuerdo y poder ofrecerte la renovación.
4. Who we share it with
Internally, with the CICCC staff who manage the agency network (your assigned advisor, admissions and administration). Externally, only with providers that operate the service on our behalf: database hosting and authentication, anti-spam verification and email delivery.
We do not sell your data and we do not share it with other agencies.
Internamente, con el personal de CICCC que maneja la red de agencias (tu advisor asignado, admisiones y administración). Externamente, solo con proveedores que operan el servicio por cuenta nuestra: alojamiento de base de datos y autenticación, verificación anti-spam y envío de correos.
No vendemos tus datos y no los compartimos con otras agencias.
5. International transfer
Your data may be stored and processed on servers located outside your country, for example in Canada or the United States. By applying and by using the portal you accept this transfer.
Tus datos pueden almacenarse y procesarse en servidores ubicados fuera de tu país, por ejemplo en Canadá o Estados Unidos. Al postular y al usar el portal aceptas esta transferencia.
6. Retention
Application data is kept while your application is under review and, if it is not approved, for a reasonable period afterwards.
Signed contracts are an exception: we keep them, with their signature evidence, for as long as the law requires even after the agreement expires or the relationship ends. That is what lets both sides prove what was agreed.
Los datos de la postulación se conservan mientras está en revisión y, si no se aprueba, por un periodo razonable después.
Los contratos firmados son la excepción: los conservamos, con su evidencia de firma, por el tiempo que exige la ley aunque el acuerdo venza o la relación termine. Eso es lo que permite a ambas partes probar qué se acordó.
7. Commercial communications (CASL)
Operational messages about your application, your contract and your portal are part of the service and are not marketing. Any commercial communication identifies CICCC with its address and contact, and includes a working unsubscribe link. You may unsubscribe at any time and your request is processed without delay; unsubscribing does not affect your agreement or your portal access.
Los mensajes operativos sobre tu postulación, tu contrato y tu portal son parte del servicio y no son marketing. Toda comunicación comercial identifica a CICCC con su dirección y contacto, e incluye un enlace de baja funcional. Puedes darte de baja en cualquier momento y tu solicitud se procesa sin demora; darte de baja no afecta tu acuerdo ni tu acceso al portal.
8. Your rights
You may request access to, correction of or deletion of your data, and withdraw your consent, by writing to andy@ciccc.ca. Note that a deletion request cannot remove a signed contract that we are legally required to keep; in that case we will tell you exactly what we are keeping and why.
Puedes solicitar acceso, corrección o eliminación de tus datos, y retirar tu consentimiento, escribiendo a andy@ciccc.ca. Ten en cuenta que una solicitud de eliminación no puede borrar un contrato firmado que estamos legalmente obligados a conservar; en ese caso te diremos exactamente qué conservamos y por qué.
9. Security
Portal material lives in private storage and is served through links that expire; each agency can only see its own data. Signing links are single-use and expire. We report any incident that affects your data as required by law.
El material del portal vive en almacenamiento privado y se sirve con enlaces que expiran; cada agencia solo puede ver sus propios datos. Los enlaces de firma son de un solo uso y caducan. Reportamos cualquier incidente que afecte tus datos según lo exige la ley.
10. Governing law and language
This notice is governed by the laws of the Province of British Columbia and the applicable federal laws of Canada. The English version prevails in case of any discrepancy with a translation.
